Specific Role Responsibilities | Job Outputs:Financial Management:Control and contain expenses.Review and analyse profit and loss.Prepare and submit budget forecast for financial year.Assess credit notes, authorize and apply preventative and corrective actions accordingly – RNR27.Review cash accounts with Branch Managers weekly and action as necessary – DBE99. Operations Management:Daily and monthly administration:Daily revenue – SSE01Daily utilisation – SSE03Monitor overdue vehicle report daily and action where necessary – VME10, VMR21.Monitor delayed invoices daily – PIR51Monitor rentals not invoiced daily – RNR10Monitor partial billing daily – RNE48Monitor banking daily – CHE01Monitor and ensure queries are closed daily – liaison with Administration Manager – PIM20.Monitor Downgrade/Upgrades – RNR29Monitor missing kilometers and get feedback from managers to action – RNR30 Quality/Corporate Governance:Ensure that Internal Audits are carried out timeously as per the annual schedule.Accommodate and give feedback to External Auditors when External Audits are carried out.Compile and submit Audit report to the Executive on a monthly basis.Compile and submit Fraud and Risk report to the Executive on a monthly basis.Business Development and Customer Relations:Through branch targets grow local business.Visit local existing customers and maintain good relationships.Visit and build relationships with prospective local customers.Network in industry Fleet: (in conjunction with Fleet Manager)Effective fleet planning and administrationEffective utilization of vehiclesMonitor out of service vehicle listEnsure that weekly fleet check is carried out and all vehicle are accounted for.Vehicle quality – maintenance, servicing and cleanliness.Fleeting and De fleeting of vehiclesMonthly fuel reconciliations Claims: (In conjunction with Claims Manager)Meet with Claims Manager weekly to discuss and action.Outstanding claims – CSIM2, CFR05Vehicles standingWrite offsInvoicing of claimsCosmetic claims HR/IR:Through setting an example motivate, lead and guide the team.Recruitment, selection and retention of staff.Collate and submit monthly overtime schedule to HR.Carry out performance appraisals with staff.Conduct regular meetings with the Senior Management team and Branch Managers.Chair disciplinary and appeal hearings.Assist managers with staff related issues and disciplinary procedures. General:Oversee and accountable for all branches in region.Promote and implement appropriate corporate identity.Management of outsourced relationships. |
Qualifications and Experience | Minimum Experience:5-8 years relevant experience, of which 3-5 years business operations management experience.Experience at a management level in car rental is preferred.Minimum Qualification:Business Diploma or Degree or other relevant tertiary qualification (NQF6/7).Minimum Requirements:Valid unendorsed code 08 driver’s license.Computer literate: MS Office (Intermediate level of Excel skill is essential). |
